Get More Done with These 3 Time Productivity Tips

Do you start your day with high energy then crash around 2:00pm and find it hard to focus on important tasks the rest of your workday? Most people do.

If that’s you, here’s a smarter approach to time management that won’t make your brain hurt.

-1- STOP MULTI-TASKING

Multitasking is a myth—you aren’t a super-human computer with multi-functional processor. While it’s tempting to juggle five tasks at the same time, Neuroscientist, Dr. Caroline Leaf says, “Multi-tasking is not humanly possible.”

You really can’t prepare for your next presentation, handle customer service, answer phone calls and eat lunch without getting heartburn at the same time.

Slow down and focus on completing one task at a time. You’ll actually get more done and feel less stressed.

-2- WORK IN TIME BLOCKS

Both Elon Musk and Bill Gates are well known for having high levels of productivity along with the ability to maximize each minute of the day.

What’s their secret? Time blocking.

Productivity experts like tell us the single task nature of time blocking can improve productivity by as much as 80%.

Focus for an hour or two at a time and do deep work. With time blocking, your schedule becomes your touchstone and eliminates the need to decide on what you should focus on.

-3- PLAN YOUR ENTIRE WORK WEEK ON A POWER CALENDAR

One of the ways I help my clients improve their productivity is to set up a default calendar with Focus Days, Buffer Days and Free Days.

Each day is mapped out and color coded in strategic time blocks.

Unlike a to-do list, time blocking not only tells you what to do but when to do it.

When you’ve divided your calendar into time blocks, it keeps you task-focused and by sharing your calendar with your support team, it limits the ability of others to infringe on your time.

What’s more, instead of following an ever-expanding to-do list, time blocking lets you start each day with a schedule of specific tasks to complete.

Be sure to add time blocks for team member meetings to keep staff on task as well.

Before You Fire Your Boss Make a Checklist

If you have ever dreamed of firing your boss, this is a must read article.  While 90% of the population goes to work everyday to trade their time for wages…there is a special group of people who wake up to a world of time and money freedom that most people will never know.

They are the ones who made the decision to be their own boss. They chose to bet on themselves. They chose mind freedom, money freedom and time freedom over a job. But…going from employee to being your own boss is a big transition. So my advice is this:

Before you fire your boss, make a checklist.

.Checklists help to organize  thoughts, keep track of important details and consider all options. Here are a few items to consider before you hand in your two-week notice.

-1-Identify your Passion and Life Purpose.   You’ll find that every thing seems to fall into place once you are certain of what drives you and gives your life purpose and meaning. Think about the things that bring you the greatest joy in life. You could start by thinking about this…”If everything were ideal in my life I would_______________________.  Then fill in the blank. How would you love to spend your time?  Who would you love to help?

Your life purpose is simply to discover your passion and then to use your gifts to help as many people as you can. When you do that you’ll never work another day in your life because you will be following your bliss.

-2-Do  some introspection and take a few aptitude tests.  Consider taking an Ennegram or KOLBE Index A indicator assessment to discover your natural strengths and tendencies. Make a list of your strengths and abilities. Think deeply about the things that you are really, really good at doing. Your days will flow much more easily when you work from your strengths and unique abilities.

-3-Think about what you really want. What work-from-home business would be ideal for you?  Do you want to do freelance work? Would you enjoy using your skills and knowledge to do coaching or consulting work? Are you good at marketing? Maybe you’d like to build an agency for local businesses. Or maybe you have a passion for organizing, cooking or travel and you would enjoy being a blogger or having a podcast. The options for starting a business from home are unlimited.

-4-Research your income replacement options.  The opportunities for making money with an online business are endless.  You could become a producer of digital information  products, set up an online store, set up a blog and be an affiliate marketer or use your experience to teach and train others. So putting first things first…

Passion leads to purpose!

Here are a few tips about how to find a good business idea:  Your business idea is something:

  • You already know a good deal about
  • You have experience in the subject matter
  • You love to talk about
  • Comes easy to you (almost like falling off a log!)
  • You love to teach and help people with
  • There is a big market demand for it (you can make a lot of money!)
  • It excites you. You would solve problems for people who need help even without getting paid.

-5-Make a financial plan. Think about how much money you need to replace the monthly income from your 9-5.  Add  between 40-50% to that figure to include  income taxes and employee benefits.

-6-Build a bridge. Put aside some money for start-up expenses . If you have your own computer and you are building a low asset online business, a few hundred dollars should do.  Next, create a financial cushion.  Set aside a few months of living expenses for your transition. Most planners recommend you have between four and six months of income at th very least.

-7-Develop a Strategic Plan  for success. Planning is a crucial first step because good planning results in clarity. Before you even think about  leaving your 9-5, building a business website or creating a new product, it’s wise to spend a few hours in planning for the outcome of what you really want.  (See my 1-Page Planning Guide.)

-8-Start an online side hustle.  Turn your job experience into a freelance side business with Fiverr or Upwork.  Make money by designing websites, business cards, logos or graphic images. Make money by writing content or cartooning or Photo Shopping.
